Many institutions are gradually shifting from the traditional method of selecting vendors based on the lowest bid to a more advantageous bid-oriented approach. They now require vendors to not only possess capabilities in integrated design, construction, and mechanical and electrical equipment management but also need a comprehensive project management system to enhance their own management capabilities. Therefore, Dingtai Construction hopes to adopt a project management information system (PMIS) to serve as the primary communication bridge with clients or project management units in the future, achieving transparency in progress and document information without relying on traditional email exchanges.

The establishment of a project management information system (PMIS).

Through the solution provided by ezteamwork, the employees who were previously scattered across various job sites are now centrally managed in the cloud. This involves constructing an online collaborative platform for project management, which integrates the entire process into the system. It aligns with the operational mode of job sites and enables real-time online operation via the internet, free from limitations of time and space.

Due to the excessively detailed division of labor in the contracting of general construction projects, especially the interdependence among subcontractors, managing the project schedule has become challenging. Each project tends to have its own management approach: most rely on traditional manual forms for progress tracking, with relevant data scattered across individual computers, making centralized management difficult. With the implementation of the system, project managers can uniformly use the platform for automated scheduling of construction progress, planning subcontracting procurement, and directly assigning task responsibilities online. Importantly, the system automatically issues warning notifications, reducing the risk of project schedule delays. Senior executives can also monitor multiple projects in real-time, allowing them to stay updated on the significant milestones of each project.

Additionally, regarding project documents, the previous practice involved constructing a File Server and having designated personnel upload documents centrally. However, due to the substantial volume of documents generated throughout the project lifecycle and the scattered storage of data, it was challenging to collect and organize them, let alone unify them for archiving purposes. With the implementation of the system, a unified document management approach with permission control has been established within the project area. This includes various documents such as internal company documents related to cost, quality, schedule, and ISO management, as well as contract documents, drawings, construction plans, and submission materials for delivery to clients. All these documents are uploaded in real-time during the execution process, facilitating online downloads and inquiries by subsequent project teams or clients.
