Establishing a small-scale, diversified order management collaboration platform to track inventory progress and order delivery dates.

Building context/challenges.

► As the order volume increases, it becomes more challenging to keep track of delivery schedules.

Based on customized product orders, there are various components sourced from different suppliers. With an increasing number of orders, the number of subcontractors also grows. However, under the traditional management of orders and subcontractors using Excel, it becomes increasingly challenging to keep track of delivery schedules and the overall status of orders. Manual operations are also quite time-consuming and labor-intensive.

► Information Discrepancies Arise During Interdepartmental Communication

As the number of orders increases, communication between departments becomes more frequent. Relying solely on communication software or email can lead to tracking difficulties, lack of reminder mechanisms, and ineffective transmission of real-time project information. Retrieving information afterwards is also challenging, and preserving the complete project history becomes difficult.

► It's challenging to effectively manage component information.

Previously, it was difficult to integrate inventory with photos, making it challenging for assembly factory personnel to match actual items with component names. This often resulted in significant time and cost spent clarifying component information.

Solutions

Through the system, a project-oriented management model is established for custom orders, with scheduling planned according to the production processes of different products. Detailed material lists are separated for procurement management, establishing standardized process mechanisms. Project templates facilitate the rapid duplication of project structures, with the system automatically calculating work schedules.

By utilizing the system to establish a project-oriented order management model, external procurement of materials can be managed within the system as individual projects. Each procurement list can be tracked separately, allowing for systematic integration and management.

► Real-time monitoring of project progress is facilitated through the system, enabling immediate tracking of project milestones and tasks.

The system allows for the breakdown of the entire project into manageable tasks, with scheduled timelines planned in advance. Various progress summary reports aid managers in individually monitoring the status of orders. Integrated reminder mechanisms automatically notify responsible parties of pending tasks yet to be completed.

► Establishing a record of assignments and their management within the system.

Detailed recording of assigned tasks in the system, along with cross-referencing to corresponding items. Additionally, it enables automated reminder mechanisms and visual alerts to monitor the progress of assigned tasks.

► Utilizing project templates to inherit project experience.

By establishing project templates through the system, it is possible to continue the experience and history of previous customized projects. This ensures that project management can be maintained even when there is personnel turnover.

► Using the mobile app, you can stay updated on the status of materials and supplies.

Integrate the mobile app so that managers or factory personnel can quickly access information about materials, including quantities, progress, and photos of the items, directly from their mobile devices.

► Centralize all graphic and document files on the platform for signing and control, and reconcile the progress of tasks.

As part of the upcoming phase of system implementation, we plan to integrate and manage documents more comprehensively. This involves centralizing design drawings, engineering diagrams, and Bill of Materials (BOM) from the project development phase into the system and reconciling them with corresponding tasks for integrated document management.
