Case Study/Project Management

TATUNG

Building an engineering project management platform that integrates with SAP to link engineering and financial progress, centralizing control over graphic and textual information.

Building context/challenges.

In response to the extensive and complex requirements of electromechanical system integration project management, the introduction of a Project Management Information System (PMIS) is an essential tool. Initially, the finance and accounting department of the head office used SAP to manage projects. However, because its project planning was primarily budget-oriented, detailed execution management was challenging. This led other engineering-related business units to use MS Project for detailed progress control. The data required by the finance and accounting department was then manually aggregated separately.

In such circumstances, not only did it cause issues of redundant work and information inconsistency among personnel, but also gradually raised some concerns: the finance department couldn't get real-time project progress updates from the SAP system, nor could they determine when to issue invoices for billing. Furthermore, because project documents were scattered among various project managers without centralized control, missing billing documents couldn't be promptly provided to clients, affecting document delivery schedules and resulting in loss due to deductions. This prompted the finance and accounting department to introduce ezteamwork from Monmouth Technologies, integrating it with SAP through a unified project management solution.

Additionally, quality control and billing documents are also managed within ezteamwork. Through system settings for expiration notifications and inspection progress status, the overall process has shifted from manual tracking to an automated reminder mechanism, thus avoiding losses caused by human error.

Benefits of implementation.

The case company utilizes ezteamwork to integrate SAP with project management, scheduling, and financial systems. This allows the finance department to understand the exact progress of various projects through the system, enabling timely issuance of invoices. The engineering department no longer needs to maintain two sets of project data and can concurrently manage detailed sub-project plans. In addition to streamlining the original workflow, the main focus is on establishing a unified project management system and standardizing practices and tools. Through automated reminder mechanisms, the risk of deductions due to delayed document delivery is significantly reduced.
